PRIVACY POLICY

Effective September 15, 2026. This explains what Robinson Tree Service collects through this website, why, who else sees it, and what you can ask us to do about it. We have tried to write it in plain English.

What we collect

When you contact us. The details you type into a form: your name, phone number, email address, service address and whatever you tell us about your trees. Firewood orders and free drawing entries collect the same sort of thing.

When you use the chat assistant. What you type, and our replies. The assistant is automated — an AI, not a person. If you ask it to pass your details to the office, it creates an enquiry the same way a form would.

When you accept an estimate online. The name you type, the date and time, the kind of device and browser you used, and a one-way fingerprint of your network address — we keep the fingerprint, not the address itself. We also keep a copy of the exact wording you agreed to. This is how we show a job was authorised.

When you just browse. If you accept analytics cookies, Google Analytics records which pages get visited and roughly where visitors come from. It tells us “forty people read the tree removal page this week” — not who you are.

What we don’t collect. We never see your card details — payments go straight to an outside payment processor. We don’t ask for social security numbers, dates of birth or anything similar, and you shouldn’t send them to us.

Why we use it

To reply to you, quote your job, schedule and carry out the work, invoice you, keep our business and tax records, and answer questions afterwards. We also use aggregate analytics to understand which parts of the site are useful.

We do not sell your personal information, and we do not share it for anyone else’s advertising.

Phone calls, texts and emails

When you give us a phone number — on a form, in the chat, or by entering the drawing — you are agreeing that we may call, text or email you about your trees: to arrange the estimate, send the quote, confirm the date, and follow up afterwards. Your phone company’s message and data rates may apply.

You can stop it at any time. Reply STOP to a text, use the unsubscribe link in an email, or just tell us — call 901-363-3539 or email RobinsonTree@comcast.net. We will still send you messages about a job you have actually booked, because you need those. We do not share your phone number with anyone else for their marketing, ever.

Cookies

Analytics cookies are not set unless you press Accept on the banner shown on your first visit. If you decline, or ignore it, no analytics cookie is stored. To change your mind, clear this site’s data in your browser and the banner will reappear.

We do not use advertising cookies. The only other cookie keeps Robinson Tree staff signed in to our private office area, which is strictly necessary for the site to work.

Who else sees your information

Only the companies that run things for us, and only so they can do that job. They are not allowed to use your information for their own purposes:

• Vercel — hosts this website.
• Supabase — our database, where enquiries and acceptances are stored.
• ClickUp — where we track your job from first call to final invoice.
• Resend — sends our emails.
• Anthropic — provides the AI behind the chat assistant; what you type in chat is sent there to generate a reply.
• Google Analytics — website statistics, only if you accepted cookies.
• Our payment processor — handles card and ACH payments. They collect your payment details directly; we don’t.

We may also share information where the law requires it, or where we need to establish or defend a legal claim — for example showing that a job was authorised.

How long we keep it

Customer and job records for as long as you are a customer and afterwards while we need them for our business, insurance and tax records. Chat transcripts and website analytics for a shorter period. Records of accepted estimates for as long as we may need to show what was agreed.

Keeping it safe

Our database is not readable by your browser — everything goes through our servers, and the private office area requires a sign-in. Network addresses are stored as one-way fingerprints rather than addresses. No system is perfect, but we take this seriously.

Your choices and rights

Whatever state you live in, you can ask us to:

• tell you what information we hold about you,
• give you a copy of it,
• correct anything that’s wrong,
• delete it, where we don’t need to keep it for legal or tax reasons.

We do not sell personal information or use it for targeted advertising, so there is nothing to opt out of there. Just get in touch and we’ll take care of it — and we won’t treat you differently for asking.

You can stop marketing emails at any time using the unsubscribe link, or by telling us. Emails about a job you have booked will still reach you.

Children

This site is for adults arranging tree work. We don’t knowingly collect information from children under 13. If you think a child has sent us something, tell us and we’ll delete it.

Changes to this policy

If we change how we handle your information, we’ll update this page and change the effective date at the top.
